On your Mac

Your recordings, projects and transcripts stay on your Mac. Cleaning, transcription, editing and export run locally and do not send them anywhere.

When you use the AI chat

When you use the built-in chat, the transcript text and project information the AI needs are sent through our server to Anthropic (Claude), which acts as our data processor, so the AI can plan the edit. Cloudflare, which runs our server, is also our data processor. The audio itself is not sent. Our server does not store the content of the conversation. If you use your own Anthropic key, the app talks to Anthropic directly, under your own agreement with Anthropic. If you connect your own AI app through MCP, that app’s provider handles what you send it under their terms.

What our server stores

• Your email address and language, and when you signed up.
• Sign-in codes and sessions (only as hashes).
• Your activated Macs: a random ID made by the app, the computer’s name and when it was last used.
• Your plan, its status and period, and for teams the email addresses of the members.
• Credits: what was added and used, with the reason.
• Use of the AI chat: time, model, number of tokens, cost, and for each audio file a random ID, its length in minutes and its AI budget. Not the audio or the text.

Payment

Paddle sells our plans as Merchant of Record and processes your payment and billing details as an independent controller under their privacy policy. We receive the status of your subscription and an ID for you as a customer, not your card details.

Downloads and hosting

The website, the account page and our server run on Cloudflare, which processes technical data such as IP addresses to deliver them. AI models are downloaded directly from Hugging Face and GitHub, which see your IP address when you download. The website uses no tracking and no cookies; the account page uses one necessary cookie to keep you signed in.

Why, on what basis and how long

We use the data to provide the app, the licence and the chat, because it is necessary for our agreement with you (GDPR article 6(1)(b)); to prevent misuse and keep the service secure, for example daily limits, based on our legitimate interest (article 6(1)(f)); and to keep accounts as required by the Danish Bookkeeping Act (article 6(1)(c)). Account data is kept while you have an account and deleted within 30 days after you ask us to close it. Bookkeeping records are kept for 5 years from the end of the financial year, as the law requires.

Transfers outside the EU

Anthropic and Cloudflare are based in the USA. Transfers to them are based on the EU-US Data Privacy Framework or the European Commission’s standard contractual clauses. Write to us if you want a copy of the safeguards.

Your rights

You can ask for access, correction, deletion, restriction and a copy of your data, and object to processing. Write to info@promptly.dk. You can complain to the Danish Data Protection Agency (Datatilsynet).
